We use an app called AnyList. For $15/year (household plan), it has the ability to make custom lists, shared lists, import recipes from the internet and add ingredients directly from stored recipes.
This app works on Apple and Android devices as well as having web access in any browser (with paid version). The shared lists have been incredibly useful – we have grocery lists, hardware store lists, standing lists for provisions, packing lists for specific trips, lists of items on the boat, as list for items to bring from house to boat and a list from house to boat. I also have a non-shared list as a personal To-Do list. Sharing the lists has been really helpful – whoever happens to stop by a store always has the updated list to refer to. You do need wifi/cellular data to update shared lists, so that could be a limitation in some circumstances, but one could use the app without sharing. There is a free version of the app that includes most of the list features except web access, photos & unlimited recipe imports. I’m not affiliated with the company, just a long-time happy user of the app after trying many others.
One could use this app for tracking inventory – you would have edit items to adjust quantities, but I’m not sure we will use the app for this on passage. Not that difficult, but paper tucked near provisions or in the galley has the advantage of being at hand in the moment. We are taking pictures of all provisions as they go onto the boat, so we might just print the pictures and cross out items directly on the pictures. As you say, the easier, the better. The meal planner feature of this app is cumbersome to use across multiple weeks, so we are using a spreadsheet for that in order to estimate quantities.
